Short Notice Appointment Letter

Short Notice Appointment Letter can be understood as a letter which is written between two persons to schedule an appointment or a meeting in comparatively less time.

Such an appointment letter is usually written between a doctor and his or her patient. It may also be written between an employer and one of his or her employees or even a candidate.

The purpose of this type of letter is to hold the meeting on an urgent basis, depending upon the reason provided by the writer.

The letter should be formed of three paragraphs. The introductory paragraph should mention the reason for which the letter is being written. In the central paragraph, the writer should supply the receiver with reason due to which the appointment is being held on a short notice for his or her cooperation in the matter. The concluding paragraph should request the receiver to confirm his or her approval for the appointment.

Subject: Short Notice for Dental Appointment

Dear Mr. Randhir Kumar Gupta,

I am writing to you with reference to your dental appointment which had been fixed with Dr. Sunil Kaushik for Thursday, that is, November 23, 2017, at 4.30 p.m. Due to certain non-negligible reasons, your appointment with him on the above mentioned day, date and time shall have to be canceled and I deeply apologize to your for the same.

Since an unplanned event has come up, Dr. Sunil Kaushik will have to move to another town for a period of one month, that is, from November 22, 2017, to December 23, 2017. However, upon realization of the urgency of your situation, he has decided to schedule your appointment for November 20, 2017, during any time between 12.30 p.m. to 5.30 p.m. Alternatively, the appointment can also be fixed for November 21, 2017, during the same timings. If this arrangement is agreeable to you, kindly provide your approval as well as confirmation of the time of appointment.

This may cause an unwanted change and disturbance in your busy schedule of the week but I would like to, once again, ask for your apology and seek your cooperation in this matter.
