Product Complaint Letter, Sample & Format

Introduction

Often when a customer avails a service or a product, there can be discrepancies with it. It could be damaged, or its quality might not be up to the mark. In such cases, as a customer, you have the right to write to the company about the complaint you have with the product or service you have availed. It is one of the most efficient methods to rectify any such problems.

Writing a letter to the company brings the issue to the company’s notice at once – given they have a functioning customer redressal mechanism. This letter must be written in a formal tone, with all the necessary details about the product given. If possible, attach proof of whatever went wrong with the product. You can either attach a bill or a print of a picture of the damaged product. Mention that you want compensation from the company at once – they must either fix it or replace the product with a new one.

Subject: Complaint Letter

Dear Ms.Mehak,

I have purchased all my electronic gadgets from your esteemed company. Yours is a well-reputed company, which is why it has always been my first preference to buy gadgets. However about three months ago, I purchased a TV from your RK Mall showroom. I am extremely unhappy and dissatisfied with my purchase.

Your company has a free delivery policy, but when I had my TV delivered, I was asked to pay INR 500 as transport charge. Though I was very reluctant to, I paid the fee. Then I called your helpline to request your technicians to help me install the TV. I was put on a two-week waiting list! I was shocked since I had always believed that both your products as well as the services after purchase as one of the best of its kind in the market.

After using the TV for a month, I started noticing disturbances on the screen. My TV is under a 2-year warranty. However, when I called the technicians to fix the issue they further charged me INR 1000. It was extremely unprofessional and unexpected. Even after calling for help, the disturbances on my screen persisted.

After a few weeks, the TV would often unexpectedly switch off for no apparent reason. Last week, there was also a burning smell coming from the TV. I am extremely dissatisfied with this purchase. The problems I face with the product are very shocking for a product from a company as reputed as yours.

Kindly look into the problem immediately. I demand a refund or the replacement of this TV with a new one at the very least. Please find enclosed the warranty card along with a copy of the bill. I look forward to a speedy response.
