Probationary Termination Letter
Before actually hiring an employee, many companies offer them a probationary job, that is, they are offered a job on a trial basis. The duration of this can vary, but it is usually about six months. The purpose of this is to test the employee’s skill and see if she or he is an ideal fit for the position.
More often than not, many probationers are eliminated once their period has been served. It could be due to several reasons. In such cases, the person is served a probationary termination letter in which his/her time with the company is deemed over. Since this is a formal letter, it must be written in a professional manner so that the receiver understands the gravity of the situation. The letter should clearly state as to why his/her tenure is being terminated. However, she/he should be thanked for his efforts so that the person does not feel demoralised. Lastly, make sure the details of his/her tenure along with the termination date is clearly stated.

Subject: Probationary Termination Letter
Dear Mr. Kumar,
I regret to inform you that your probationary period with us is to be terminated with effect from 1st Oct 2017. We regret to inform you that though you have faithfully served our company for the past six months, you were unable to meet the mark of our ideal employee.
Your probation period started on 1st April 2017, and since then you have shown every aspect of a hard-working client. You have so far never missed a day of work and were diligent in whatever task you undertook. However, on 25th May 17, all five probationers were given the task of handling the “Y” company account.
Your task was to clear any pending account activities of the company and ensure that the half-yearly targets of the company were met. However, out of five candidates, only Ms.Ashwani was able to finish the task successfully. This assignment was the parameter based on which we were assessing the probationers and selecting them for a full-time job.
It is with great regret that I inform you that your inability to finish the assignment has led to the termination of your job. Since we can hire only one employee, we have to let go of the rest.
However, given your skills and dedication, we will be more than happy to write you a glowing letter of recommendation. The effort and time dedicated to us are much appreciated.
