Permission Letter, Sample & Format

Introduction:

 

Permission letters can be written for a single event clearance such as students needing the use of school facilities or equipment or planning for excursions as a club or society or a relationship approval such as that of a boy asking parental permission for a girl’s hand in marriage. An authorization letter is usually written by a lower rank individual to a higher level individual or authority that can give clearance or approval on the request. As it is written to a higher rank person, it should be in a formal way.

The letter should comprise full details why the writer wants a permission. If it is a letter written by a student to the faculty asking for permission to use lab equipment he/she should clearly explain why he/she needs that equipment and in how many days he/she will return it to the college or school. In the end, suggest that you are hoping a positive reply and thank the recipient in advance for granting the permission.

Subject: Permission to use School Hall

Dear Sir,

On behalf of the school’s Badminton Club, I would like to request you to use the school hall on November 12, 2010, from 9 am to 3 pm. The Badminton Club is planning an interschool tournament with six (6) schools confirmed for participation. As such, there is a need to use the school hall as the various schools take turns to hold one session of play.  It is our honor to have been chosen to hold the finals at our school premise; hence, this letter to request your kind approval to use the school hall for that day.

The Club Teacher Advisor, Mr. Ben Mason, is acutely aware of the tournament and its preparations. As the tournament, takes place on 12th we would like to do some renovations to the hall, and the amount will be provided by the sports in-charge. So we need to have the keys of the hall by 9th. Ben sir will be present with us all the time, and you can ask him if you want any information at that time. As mentioned the play will be held from 9 to 3 pm on that day, and we want to organize it in a pleasant manner so that we can get good recognization for our school through which we will be then benefited. I look forward to a favorable response from you soon on this request. Thank you for taking your time to read this letter. Anticipating a quick reply from you so that we can make our arrangements at the soonest and hence they can be completed on time.
