Leave Extension Letter, Sample & Format

Leave Extension Letter

Introduction

A Leave Extension Letter is submitted by an employee who is on leave but requires a certain number of extra days. Leaves can be of several kinds, such as maternity leave, examination leave, medical leave, or leave for a particular personal work, however, due to some unforeseen circumstances or event an extension may be required. Since extending a leave without informing or getting approval for the extension may present the employee in a bad light, it becomes necessary on the part of the employee to draft a well written Leave Extension Letter.

The letter should be very specific about the issue and explain clearly the reason for the required extension. The letter should be courteous and humble so that no negative action is taken against the employee. If the organization with which the employee is working has suffered a loss due a lot of work pending on the part of that employee, then the employee should also mention in the letter the necessary steps that he or she will undertake to ensure a completion for the restoration of the same. Hence, the writer should conclude the letter by apologizing for the same as well as thank the employer for considering the extension.

Subject: Request for Extension of Leave

Dear Mr. Philips Graham,

I am very apologetic for being unable to return to work timely on January 26, 2011, as per my leave plan that I was granted permission for. Unfortunately, due to the unfavorable weather conditions, I am still stranded in Brisbane, Australia, where it has been flooding over the past three days.

I have been here on a visit to my brother for a few non-negligible reasons. The flights have been grounded until Saturday, that is, January 28, 2017. However, I am trying my best to get the first flight home from here. I foresee that I would only be back to work by January 30, 2017. Therefore, I put forth my request to you for a allowing me a leave extension from January 26, 2017, to January 29, 2017. Also, I will carbon copy this letter to the HR of the organization, Mrs. Piers. I understand the severity of the situation and that a lot of work has been pending in the office. I was determined to reach the completion of the target, but I was in a very helpless situation. I am willing to work after the office hours and complete all the pending files as soon as possible.

I, once again, apologize for all the inconvenience caused by my extended leave of absence.

Thanking you for your kind understanding and cooperation.

Yours sincerely,

Jenny Baker
