Joining Date Extension letter, Sample & Format

Introduction

A ‘joining date extension’ letter is written by a successful job applicant who has been notified of acceptance by the company for employment. But due to some unforeseen circumstances, the job applicant writes in to request for an extension of job commencement date. The reason for the extension must be clearly written for the company to consider the request favourably.  Hence it is a highly formal letter.

So when starting the letter keep in mind that the letter has to be neatly organised. It is better to structure it into three paragraphs, namely an introduction, the main body and a conclusion. In the introduction, state your purpose for writing the letter, which is to request an extension of your joining date. Explicate this in the following paragraphs, listing your reasons for doing this. Apologise for the inconvenience caused to the company due to your actions and conclude the letter.

Subject: Request to extend job joining date.

Dear Ma’am,

Let me introduce myself as Susan Black and I had applied for a job at ‘Golden Delight Industry’ as a copywriter. First of all, thank you for the offer of employment by your esteemed organisation as Copywriter. I am delighted to receive your kind offer, and I gladly accept the offered position.

However, due to the contract at my current place of employment, I am unable to commence work at Golden Delight Industry until the end of the month. I have tried to negotiate with my current employer to release me sooner, but the management is unwilling to release me due to some project obligations. Hence, may I humbly request an extension to the commencement date for me at your organisation, of which I am very keen to be a part of.

I do want to exit the current organisation on good terms as well as fulfil my obligations to them, being a responsible employee. I am also legally bound to stay with my current employer until the end of the month. I understand fully that I am asking for a big deal but I humbly request you to consider my request. I am extremely sorry for the inconvenience caused to your company due to my actions.

I thank you for your kind understanding on my request.

Yours truly,

Susan Black
