Holiday Notice Letter, Sample & Format

Introduction

A Holiday Notice Letter is a type of a formal letter to announce a formal holiday to the receiver. A Holiday Notice Letter can mainly be of two types. The first type of such a letter is written by an employer to employees to announce to them of an official holiday by the company due to certain reasons. When writing the letter, the employer should mention the dates of the holidays. It would be agreeable to supply the employees with the reason for the closing, irrespective of the reason being positive or negative.

The second type of such letter is written by an employee to the employer to inform him or her regarding the holiday. The employee may require a certain number of holidays due to several reasons, such as, for an emergency, a familial function or an unfortunate event. When writing the letter, the employee should clearly state the reason for the leave and also mention the dates for the same. In case the employee has certain work pending which needs to be done on an urgent basis, then he or she should also specify a solution for the same.

Subject: Sudden Closing due to Unfavourable Weather

Dear Mrs. Rajni Desai,

This is to inform you that due to the current unfavourable weather conditions, as even you might be familiar with, Universal Technologies Ltd. shall remain closed all day tomorrow, that is, Saturday, May 7, 2017.

Since our organization is into the sector of information technology, our employees are effectively using the technical resources to be in touch with the clients. The continuous rain and stormy weather conditions would obstruct the work. Despite a lot of work pending to hit the target, we do understand that our employees may not be able to reach the office on time. Also, we have been reported by several employees that it might not be convenient for them to commute to the office through public transport as they do not have their personal means of travelling. Apart from transportation, even we do not want our employees to risk their health and safety in a weather as adverse as this. Hence, the management of the organization has decided to close the office for a day.

Your salary shall not be affected due to the sudden closing. You shall be compensated for the leave. However, in case the work might not be able to reach completion at the end of the month of May, it is our kind request to you to work a certain number of extra hours if such a situation should arise.

We appreciate your patience and cooperation with us.

Thanking you.

Yours Sincerely,

Ashish Tiwari

Director,
