In certain situations, due to a mistake or misunderstanding, an accusation or allegation may be put upon an individual or an organization. The allegation may or may not be true. However, if the allegation is not true or has been caused due to an inevitable mistake, then it is on the part of the accused individual or organization to remove the allegation and restore the situation back to normal. Hence, a Denial Letter is written by the accused to clear up the issue.

A Denial Letter can come in many forms. In the letter, the writer must mention that he or she is writing in response to an accusation or allegation which is deemed untrue or unfair to the individual. The denial letter should state the facts clearly and precisely with attached proofs or evidence to refute the allegation or accusation so that the sender’s credibility is not marred. The letter should be concluded with a request to resolve the matter quickly.

Subject: Denial Over Outstanding Assessment

Dear Mr. Ethan Williams

I am writing this letter in response to your notice, dated DD/MM/YYYY, which states that I have not settled my yearly assessment for my premise as had been addressed in the letter.

Please allow me to refer to you the settlement record which I have attached with the letter for your kind perusal. The record shows that I made a prompt payment through my banking account on DD/MM/YYYY, respectively. However, the payment has not been acknowledged by the management of your office, till date. My bank has confirmed that the payment was made to your office upon my instructions on DD/MM/YYYY. Also, I have rechecked the same at my office. Hence, I would like to deny your allegation that I have an outstanding assessment for this year. Despite my repeated calls to the office, I have not received any response regarding the submission of the payment.

Since the matter is a delicate one, I would appreciate you for a prompt investigation to confirm the assessment of my payment and to revert to me for an update on the status. I hope that the matter shall be resolved as soon as possible.
