A Complaint letter example is a complaint letter written by an individual who is unhappy with the product purchased. The letter should be addressed to the company’s service department with specific details of the complaint so that recipient can investigate the matter and offer some satisfactory compensation. A complaint letter is written so as to draw the attention of the manufacturer or the seller to the discrepancy in the product sold or service rendered.

The letter should include details such as date of purchase, place of purchase and the price at which the product or service was purchased. The letter may also include details of the dissatisfaction with the product or service. The letter should include the invoice or sales receipt so that the details can be established with certainty.  The letter should be formal and detailed. The letter should be addressed to a customer relationship manager or a sales representative who made the sales.

Subject: Complaint against the poor quality of the product.

Dear Sir/Madam,

I made a recent purchase of a pair of red Chinese lanterns on my last work trip at your outlet in Alexander City, which was on January 14, 2011. However, the red color on the lanterns seems to be fading after these few weeks. The supposedly hand-painted designs are pale although no moist cleaning was performed on them, as instructed by your sales personnel. I was specifically told that the color of the lanterns would not fade unless it is washed. But, the color has lost its brightness and the lanterns look old. Since the lanterns are used for our Chinese restaurant, the shaded lanterns do not emit the light that we require to attract customers.

I am enclosing a photograph of the lanterns’ condition for your perusal. I would appreciate a prompt explanation on this matter as I am totally unsatisfied with the purchase. I shall be making a trip your way again in the middle of next month, should you have a good compensation ready for me.

I am awaiting your prompt response to my complaint. Please contact me if you require any further details regarding the purchase. I have enclosed the invoice of the purchase.
