A request is a kind way of asking someone to cooperate or to work according to the way you want. Meeting people every day is almost an indispensable part of the business environment. Every day, one needs to meet new people and share what they have to communicate. Meeting a subordinate or a junior doesn’t require any appointment as the senior can meet him anytime comfortable to maybe evaluate their performance or sometimes even communicate business elated information.

An appointment request letter is written to request an appointment from an individual or a person of some company by someone from another company. It could be with regards to business, medical check-ups, friends meet up, or counseling sessions. The letter should state the purpose , date and time of appointment. It is a formal letter and should be very polite, as you are seeking some time out of someone’s busy schedule. It is your obligation to request for an appointment before actually going to meet someone.

Dear Mr. Danley,

 

I am writing you this letter, to request a change the date for my appointment from January 28, 2011, at 10 am on February 1, 2011, at 10 am. I know that you are really busy and have to deal with numerous clients in a day, and a change in appointment would cause inconvenience for you. I shall be out of town for business work on January 28, otherwise, I wouldn’t have ever changed the meeting date.

I could have asked for a date before 1st February but there is usually a pile of work waiting for me after my return, which has to be completed in a short span of time and for that, I would need a couple of days. I want to be free completely and be at peace before I can take time off, for an appointment with you.

I apologize for any inconvenience caused by this change of appointment request, but it is difficult to change my work schedule. I understand and respect your schedule but I felt, that informing you before hand was a better idea than wasting your entire day. I hope you could get more appointments fixed for the day. Please confirm this change of appointment request as soon as possible. I am open to any other appointment time suggested by you.
